MSA Avicenna Organizational Structure
The board of MSA Avicenna consists of at least three and at most seven members, who appoint from among themselves a Chairperson, Secretary, and Treasurer. The roles of Secretary and Treasurer may be combined in one person.
Each committee is supported by its own team of members, who work closely with the committee manager to carry out the committee’s responsibilities and activities. In addition to the board and committee members, MSA Avicenna has more than 80 registered paid members who together form the General Assembly. The General Assembly holds the authority to annually approve and appoint the board members.

Chair
- Prepare the content of board meetings and send everyone the agenda in advance.
- Chair meetings, explain and monitor discussion structure, and ensure pro-active decision-making.
- Represent the organization at official events and keep a clear vision for MSA Avicenna's future.
- Ensure participants have room to contribute, consider all board ideas, and summarize key points.
- Evaluate the overall functioning of the organization, board, and individual board members.
- Draw up the annual policy plan and annual report in close collaboration with the Secretary.
Secretary
- Act as the main point of contact for the board, members, and external inquiries.
- Ensure emails are answered on time and assess documents before bringing them to the board.
- Prepare agendas with the Chair and send out reports and documents to board members.
- Collect, organize, and manage association documentation in the Teams environment.
- Co-author the annual policy plan and annual report with the Chair.
Treasurer
- Draw up the overall budget and generate the annual financial report.
- Collect, organize, and archive receipts, invoices, and payment orders.
- Keep the board informed about current financial affairs and sign payment orders.
- Lead fundraising efforts and build a sponsor network to secure financial resources.
Education & Activity Manager
- Educational Initiatives: Responsible for educational programs, Islamic lectures, Qur'an learning circles, and motivational Islamic content.
- Social Events & Planning: Organize bi-weekly social events, excursions, and major gatherings like Iftars and Eid celebrations.
- PhD & Staff Community: Foster a supportive, safe, and welcoming environment for Muslim PhD students and staff members.
- Community Outreach: Connect newcomers to Avicenna, facilitate smooth event coordination, and present activity plans to the Chair.
Media & Marketing Manager
- Manage all social media channels (Instagram, Facebook, website) and promptly reply to incoming DMs.
- Maintain a consistent posting schedule to drive community engagement, outreach, and brand visibility.
- Promote events across WhatsApp groups and social platforms at least one week prior to the date.
- Document events live through photography and real-time social media story updates.
- Design posters, flyers, and templates while crafting educational posts in collaboration with the Education & Activity team.
PR Manager
- Reach out to relevant organizations inside & outside WUR (e.g., MSA NL, other MSAs).
- Maintain current ties, seek new partners, and strengthen relations with the local mosque.
- Attend fairs, exhibitions, and partner events to explore collaboration opportunities.
- Co-create joint events/activities with the team (e.g., ISOW events, Asserpark Iftar, BBQ).
- Actively participate in regular board meetings.
General Board Member
- Serve as part of the internal advisory body to support overall board operations.
- Attend board meetings to evaluate workflow, step in, and assist where needed.
- Ensure long-term continuity and the future regeneration of MSA Avicenna.

Furthermore, Avicenna is a member of MSA Netherlands, an umbrella organization representing 18 affiliated associations. Its core objective is to unite, strengthen, and represent Muslim student associations at the national level. Through this collaboration, MSA Netherlands works to build a strong, confident community of Dutch Muslim students who contribute positively and meaningfully to Dutch society.
